  1. Pipedrive is a CRM built around the sales funnel and next-action selling — the system always prompts the next step on a deal: visual kanban funnels, stale-deal alerts, sales forecasting and goals. Its target segment is SMB B2B sales teams.
  2. Plans: Lite / Growth / Premium / Ultimate (renamed in July 2025). Limits scale with the plan: automations 0/50/150/250, custom fields 30/100/300/500, leads+deals — up to 300,000 per account.
  3. API v2 with token-based rate limits (30,000 base tokens × plan multiplier × number of seats) and a native AI stack shipped in 2024–2026: Sales Assistant, AI reports, Pulse. A Ukrainian UI is supported.

A sales-funnel CRM with next-action selling

Visual kanban funnels, stale-deal alerts, sales forecasting and goals — the product is built around next-step discipline (the system always prompts the next step on a deal), not around a contact database. For B2B teams with a structured deal cycle this means a live sales forecast instead of manual reports.

From WDP practice for a property developer in Georgia, the Pipedrive funnel also became a unit catalog — each apartment is a record with building, floor, area, price per m² and status; reserving a unit automatically locks it for all other managers.

API v2: faster endpoints, up to 50% cheaper in tokens

v2 is GA for Deals, Persons, Organizations, Activities, Products, Pipelines, Stages, Search and Fields, with an official migration guide. Selected v1 endpoints were deprecated effective January 1, 2026, so new integrations are designed v2-first; v1 remains only where no equivalent exists (Leads, Notes).

Predictable token-based rate limits

The daily budget follows a formula: 30,000 base tokens × plan multiplier (1×/2×/5×/7×) × number of seats, with published per-endpoint token costs, an API usage dashboard, and purchasable token top-ups. Integration capacity can be planned in advance — rare among SMB CRMs.

Webhooks v2 for event-driven integrations

A 10s delivery timeout, 3 automatic retries (3/30/150s), up to 40 webhooks per user, and events beyond the CRM core: leads, projects, tasks, deal products. A solid base for middleware (a connector service) with guaranteed delivery.

From WDP practice at a building-materials distributor, a payment recorded in BAS (ERP) automatically advances the deal through the sales funnel via middleware and creates a shipment task — the sales team never opens the accounting system, and the sales lead sees a live forecast instead of a monthly Excel report.

Smart Docs: documents with auto-filled fields and eSignatures

Template-based documents pull fields from the deal, contact and organization automatically; signature requests are unlimited on Premium/Ultimate. On Lite and Growth, Smart Docs is a paid add-on — factor that into the plan budget.

From WDP practice a bilingual "contract factory" for a developer — one click generates a contract in two language versions at once, with all requisites and amounts pulled from the deal; preparation dropped from 2 hours to 7 minutes and copy-paste errors disappeared.

An in-product AI stack that scales with the plan

AI Sales Assistant, AI reports and AI Marketplace search — on all plans; AI emails, email summarization and AI-powered notifications — from Premium; Pulse adds AI lead-quality scoring (all plans) and data enrichment (Premium/Ultimate with an add-on). The agentic experience (where the AI acts on tasks itself) is in limited beta as of 2026, so we architect around it conservatively.

API v1 → v2
Migrating to v2 is no longer a choice — it is a deadline
Selected v1 endpoints (Deals, Persons, Activities, Search, and others) were deprecated effective Jan 1, 2026. New integrations are v2-first; legacy integrations need a migration plan. Bonus: v2 calls cost up to 50% fewer tokens. Leads and Notes still remain on v1 — integrations end up mixed.

Fields on deal vs person vs organization
Affects webhook performance, BI aggregations, and scalability. Plan ceilings: 30/100/300/500 fields. A common mistake is putting every field on the deal and then carrying that debt for years.
EVENTS Webhooks
v1 does not survive 2026 — build on v2 and idempotency
The retry policy is identical in both versions (3 retries: 3/30/150s, 10s timeout), but v2 produces fewer duplicates and missed triggers, covers more event types, and debugs better; v1 is being fully deprecated during 2026. Middleware with idempotency, a dead-letter queue, and a polling fallback is a mandatory layer regardless of version.
SCALE Pipelines & automation
When a single pipeline stops scaling
The symptom: you have more automations than conditions. Plan ceilings are hard: 50/150/250 active automations and 3/10/20 if/else branches. The cure: multi-pipeline, automation routing, and a clear model of stage transitions; whatever does not fit the ceiling moves to iPaaS or middleware.
