Working with Uspacy
at WDP, in short

Five facts. No marketing fluff — what actually stands behind the word "partner".

In short
  1. Uspacy is a Ukrainian unified digital workspace for SMB: CRM, tasks, chats, newsfeed, and a "Company and people" module (org structure, employee profiles, onboarding/offboarding) in one product.
  2. Since 2025 Uspacy ships native AI: call transcription and conversation summary in the CRM card, AI-generated follow-up emails, task creation from messages. AI features are available on both the Standard and Professional plans.
  3. Open REST API (uspacy.readme.io, OpenAPI + llms.txt), incoming and outgoing webhooks (instant event notifications between systems), a Marketplace of Ukrainian integrations. In WDP's assessment — the closest in scope to Bitrix24 among Ukrainian products.
  4. WDP is an Uspacy Partner. We specialize in Bitrix24 migrations and architecture-first implementations; our case work includes a B2B distributor with a field sales team: around 500 retail points in one system.
  5. Implementation takes from 3 weeks, typically 4–6. Bitrix24 migrations — from 3 weeks; complex cases — 6–10 weeks. We give an estimate after a free intro consultation and a discovery — the first project phase where we map your processes in detail and design the solution.
Strengths

Uspacy
strengths

Analysis without marketing: why teams pick this system — and where we pushed it beyond its stock scenario.

01
A unified workspace for SMB

One product instead of three: CRM (leads, deals, contacts, companies, products, documents), tasks (templates, recurring, kanban, time tracking), chats with a newsfeed, an activity calendar, and the "Company and people" module — org structure, employee profiles, onboarding/offboarding. Less integration glue between systems means fewer points of failure.

From WDP practice a B2B distributor with a field sales team — visit tracking for reps (check-in at the point, photo, GPS), dashboards per rep, two separate pipelines (acquiring new points and repeat orders), and a many-to-many contact-to-company model for counterparties with several legal entities. Result — around 500 retail points in one system with history and metrics.
02
Native AI suite since 2025

Call transcription and conversation summary (key points, agreements, next steps) directly in the CRM card; AI-generated ready-to-send follow-up emails from call recordings; one-click task creation from a chat message, comment, note, or email with auto-filled title, description, deadline, and assignee; summaries of comment threads and unread chats. Available on the Standard and Professional plans.

03
Smart objects — custom entities without code

User-defined CRM entities with their own fields, status funnels, documents, conditional automations, and webhooks: fleets, projects, technical passports. The plan-gating nuance: Standard is capped at 5 Smart objects, Professional is unlimited, and only the Space owner or administrators can create them.

04
Open REST API with OAuth via Marketplace

Versioned per-service endpoints (auth-v1, crm-v1, tasks-v1, messenger, email, files), Bearer-token or OAuth via Marketplace apps, full OpenAPI reference plus an llms.txt index at uspacy.readme.io. The vendor builds its own product on the same API — so it is a working contract, not a showcase.

From WDP practice the API as an integration channel: for a B2B distributor we built a two-way Uspacy–BAS sync via middleware — orders flow into accounting, while catalogue, stock, and prices flow back into the CRM. The rule: BAS is the source of truth for finance, the CRM for customers and the team.
05
A Ukrainian-first integration ecosystem

A Marketplace with native apps built for the Ukrainian market: Ringostat, Binotel, Phonet, UniTalk (telephony), Nova Poshta (logistics), Monobank (banking), Checkbox and Vchasno.Kasa (fiscalization), Finmap (finance), SendPulse, eSputnik, TurboSMS (campaigns), Prom, Rozetka, Khoroshop (e-commerce). Plus Make, n8n, and Zapier for everything else.

From WDP practice a supplier into the HoReCa channel — an inbound Ringostat call instantly opens the venue record with its order history, so the manager never takes an order "blind."
06
Not only sales: an operational base for any process

Smart objects, status funnels, roles, and automations let you run non-CRM processes in Uspacy as a structured base: applications, registrations, participant records, internal requests. Not a "contact list" but a managed operational system with access rights and reminders.

From WDP practice for a nationwide civil-military community initiative we set up a single event-registration base across several cities of Ukraine — participant applications, statuses, segmentation, and reminders instead of scattered forms and spreadsheets.
07
A transparent plan structure without a module maze

Three plans: Free (up to 5 users), Standard (5 administrators, 6 roles, ~5 conditional automations, up to 5 Smart objects), Professional (no limits on users, roles, automations, funnels, or Smart objects). No per-module pricing maze like Bitrix24 — the budget is predictable at the selection stage.

Who it fits

Who it fits —
and who it doesn't

An honest assessment. Not a universal CRM. If it doesn't fit you — we say so before the contract, not after.

Uspacy fits you if

  • You want to replace Bitrix24 with a Ukrainian product — for most SMB scenarios
  • You need a unified workspace: CRM + tasks + chats + org structure in one system
  • Team of 5–200 people with several departments (sales, ops, service)
  • A chain or franchise — with a need for centralized management
  • You need custom entities (Smart objects) and automations without a developer — unlimited on Professional, capped at 5 Smart objects on Standard
  • Local support, Ukrainian language, GDPR posture, and resilient hosting (AWS + Google Cloud, triple backups) matter to you

Uspacy is not for you if

  • The team works exclusively in Gmail → better fit: NetHunt
  • The core is e-commerce, orders, marketplaces → better fit: KeyCRM
  • You only need a sales funnel without a corporate workspace → better fit: Pipedrive
  • You need complex multi-step business-process automation like in Bitrix24 — Uspacy automation is conditional (trigger → condition → action), complex logic goes to Make/n8n
  • Team of fewer than 3 people with no growth plans — the functionality is excessive
Architecture

How Uspacy lives
in your infrastructure

Data model and flows first. Interface second. That's the difference between "configuring a CRM" and "designing a system that scales".

"Just configuring Uspacy" and "designing a system that won't break in a year" are two different projects. We do the second one.

ARCH All-in-one
CRM + tasks + chats + org structure in one system
Uspacy is a unified workspace: deals, tasks, chats, newsfeed, calendar, and the "Company and people" module (org structure, profiles, onboarding/offboarding). It is not a full HRM — no payroll or recruiting. The advantage is a single entry point; the challenge is clear process boundaries defined at discovery.
DATA Object model
Smart objects — flexibility with a plan-gating nuance
Custom entities with their own fields, funnels, automations, and webhooks — a level of flexibility above most SaaS CRMs. But: Standard caps Smart objects (up to 5) and conditional automations (~5); the Professional plan lifts both limits; only the Space owner or administrators can create objects.
MIGRATE From Bitrix24
Migration is a redesign, not a copy
The typical mistake is transferring the Bitrix24 structure 1-to-1. Uspacy has no BPM chains: automation is conditional actions. Complex process logic is either simplified natively or moved to Make/n8n. Discovery on a migration is mandatory, not optional.
API Integrations
REST API + webhooks: capabilities and boundaries
Versioned per-service endpoints (auth-v1, crm-v1, tasks-v1), Bearer/OAuth via Marketplace, OpenAPI docs at uspacy.readme.io. There is no public rate-limit policy — we establish throttling and retry behavior empirically. Outgoing webhooks: create/update/delete; stage-change events exist only for leads and deals; the webhook URL requires confirmation.
