Challenge

The school tracked students, schedules, payments, and academic performance across four disconnected Excel sheets. No complete picture of a student existed: payments lived with one person, attendance with another. Communication with parents ran through personal Gmail accounts with no history.

Solution

NetHunt CRM as a lightweight ERP: separate record folders for students, teachers, groups, and payments, linked to one another. Gmail-native operation — all correspondence with parents lands automatically in the student record. An onboarding pipeline for new students from inquiry to first lesson. Payment reminders.

Context

An English-language school: ~200 active students, 9 instructors, two administrators. The request sounded like “we need an ERP,” but the budget and team called for a lighter solution.

What we did

  1. Data model in NetHunt. Record folders: Students, Teachers, Groups, Payments. The links between them give a complete picture of every student in one click.
  2. Gmail-native. Administrators work in the Gmail they already know; every email to parents is automatically tied to the student record.
  3. Onboarding pipeline. From a website inquiry to the first lesson: trial lesson, group selection, contract, first payment.
  4. Payment control. Automatic reminders to the administrator 3 days before each student’s payment deadline.

Outcome

Four Excel sheets retired. Any parent question — from balance to attendance — is resolved in a minute from a single record.
